The Green Room is situated on the top floor of the Clarke Grandstand at Townson Oval in the heart of Merewether. The light-filled space and elevated position provides a unique aspect with fantastic views and outlook. In addition to the enclosed room itself there is also access available to the 2 adjacent external viewing areas on the same level of about 60 SM, each enclosed on 3 sides with roof coverage, providing breakout areas for guests. There is plenty of parking in surrounding residential streets.

The Green Room is fully fitted out and comprises:

  • a licensed bar with 8 taps and a selection of tap beers, wines and spirits. See our Drinks List for the full range and pricing.
  • room hire including bar /cocktail height tables, dining tables and chairs, full glassware for beer and wine service
  • state-of-the-art audio visual equipment available on request with 2 microphones, 4 large screen TVs, a 3mx3m drop down screen and overhead projector
  • 16m of operable bi-fold glass doors to open the front of the room (in appropriate conditions)
  • ducted air conditioning
  • male and female and disabled toilets within the room
  • lift access from the ground level
  • wifi available

We are able to accommodate a variety of function types including:

How much does it cost to hire The Green Room for a function?

Venue hire prices vary depending on the date, time and style of the event.

How many people can The Green Room accommodate?

As a general rule, up top 120 guests seated and 180 standing.

What is generally included in the room hire fee?

The agreed room hire fee will include:

  • the cost of the “dry hire” of the room
  • supply ( but not set up) of our furniture referred to above
  • glassware if required
  • one microphone
  • large white board if required

What is not included in the fee?

  • Room set up
  • Bar and beverage services and wait staff
  • Catering
  • Decoration
  • Tablecloths / Linen
  • crockery
  • cutlery
  • AV in excess of one microphone or AV technicians

When is The Green Room available for hire?

8.00am to 10pm each day of the week.

Can I use my own decorator?

Yes, you can use your own external decorator. They will need to provide a copy of their own public liability policy to us well before the event and you will need to ensure they are able to complete the set up and pack down of all décor within the venue access times.

Can I do my own decorating?

Yes, but subject to the following restrictions:

  • Decorations above 1.8m must be installed by a professional decorator with PL insurance approved by us
  • Any candles and tea lights must be contained in holders (glass votive)
  • Adhesives like sticky tape cannot be used on painted surfaces
  • No confetti, rose petals, bubbles, floor standing candelabras, unweighted helium balloons (as they interfere with fire alarms), special effects, open flame
  • All electrical items including fairy lights must be tagged and tested
  • No smoke/haze machines

Note that you are responsible to set up and pack down decorations within the hire period.

Do we provide catering?

No, but we have 3 licensed caterers for The Green Room. They are some of Newcastle’s finest caterers and we are confident they will attend to all your catering requirements. See the links below:

Catering agreements are entered directly by you with your chosen caterer and without any responsibility or involvement by us.
Self-catering is not permitted.

Do we provide bar and beverage services and wait staff?

Yes, we can provide all your requirements in this area.

The number of staff required will depend on the number of guests and will be charged in addition to the hire fee at rates agreed with you before the function.

For some larger events an RSA marshal will also be required and we can provide that as well at your expense.

We will discuss with you your beverage requirements and tailor and agree an appropriate package prior to the event. This can be based on a total bar tab or an agreed price per guest.  We can provide the whole range of Tooheys draft beer. Our preferred wine provider is the renowned Hunter Valley producer, Margan.  Spirits can be provided on request.

Can I have music at the function?

Yes, but sound levels must not exceed certain limits which we monitor on the premises and which we will explain to you. Functions and music must end by 10pm.
